How to do imports in HubSpot

1. Prepare Your File

Create a CSV or Excel file with your data.

Make sure the columns are clearly labeled, e.g.:

Contacts: First name, Last name, Email, Phone number

Companies: Company name, Domain, Industry
-
Deals: Deal name, Amount, Close date, Pipeline stage

Each row should represent one record (one contact, one company, etc.).

Ensure you have unique identifiers (e.g., email for contacts, domain for companies).
2. Navigate to Import Tool

In HubSpot, go to Settings (⚙️ in the top navigation).

In the left sidebar, select Data Management → Import & Export.

Click Start an import.
3. Choose Import Type

Select whether you want to:
-
Import one file (e.g., just contacts).
-
Import two files (e.g., contacts + companies, or deals + contacts).

Choose the object(s) you want to import: Contacts, Companies, Deals, Tickets, or Notes.
4. Upload Your File

Click Choose a file and upload your CSV/Excel file.

HubSpot will scan the file and show a preview.
5. Map Columns to Properties

HubSpot will try to automatically match your file’s columns to HubSpot properties.

Example:
Email → Email,Company Name → Company Name. -
If HubSpot can’t match, select the correct property manually.

You can also create new properties directly from this screen if needed.
6. Review & Import

Review your selections.

Confirm associations (e.g., link contacts to companies, or deals to contacts).

Click Finish Import.

HubSpot will process the import and send you a confirmation when it’s complete.
7. Check Imported Data

Go to Contacts, Companies, or Deals to verify your new records.

Use filters to find recently created records.
-
Fix any mismatches by editing properties or re-importing with corrected data.

Always clean your file before importing (remove duplicates, check for missing emails/domains).

Use unique identifiers to avoid duplicate records.
-
For large imports, start with a small test import to confirm your mappings are correct.

Keep a backup copy of your original file.
