How to log calls and meetings

This guide shows how to log calls and meetings in HubSpot

1) Connect your phone, then place & log a call in HubSpot

A. Connect your phone (one-time)

  1. In HubSpot, click the settings gear (top right).
  2. Go to General → Calling.
  3. Click Connect calling (if you haven’t already), then Add phone number.
  4. Enter your number (and extension if needed) → choose SMS or Call to get a verification code → enter the code to verify. That’s it—your outbound caller ID is registered. (knowledge.hubspot.com)

Alternative (team lines & inbound):
Settings → Calling → Call Setup → Get a HubSpot number to provision a HubSpot-provided phone number, assign it to a user, and (optionally) set ringing/forwarding to your device or to ring in the browser/mobile app. (knowledge.hubspot.com)

B. Start a call from a record

  1. Open a Contact (or Company/Deal) record.
  2. Click the Call icon.
  3. In the call panel, choose:
    • Call from (your verified number or a HubSpot number)
    • Device: Call from browser (VoIP in HubSpot) or Call from phone (HubSpot bridges the call to your device). Start the call. (knowledge.hubspot.com)

C. Log the call properly

When the call ends (or while it’s running), fill the call panel:

  • Outcome (e.g., Connected/No answer/etc.—or your team’s custom list)
  • Direction (Outbound/Inbound)
  • Type (if your team uses call types)
  • Notes, attachments, and Associations (link to the right Contact/Company/Deal/Ticket)
  • (Optional) Follow-up task
    Click Log call (or it logs automatically if you called inside HubSpot). (knowledge.hubspot.com)

Tip: Admins can require call outcomes and configure recording/voicemail/working hours under Settings → Calling → Call Setup. Know your local call-recording rules. (knowledge.hubspot.com)


2) Schedule (or log) a meeting and ensure Meeting Type & Outcome

A. Schedule a meeting from a record

  1. Open the Contact (or Company/Deal).
  2. Click the Meeting icon.
  3. Set Title, Date/Time, Duration, Location/Video link, and Attendees (search your CRM).
  4. In the same window, set Meeting type (e.g., Demo, Intro—whatever your team uses) and after the meeting, set Outcome (e.g., Completed/No show/etc.).
  5. Click Schedule (or Save) to add it to the timeline (and calendar if connected). (knowledge.hubspot.com)

B. Log a meeting that already happened

  1. From the record, click Log meeting.
  2. Pick the correct Date/Time, Attendees, add Notes, set Meeting type and Outcome, then Save. (knowledge.hubspot.com)

C. Make sure the right meeting types exist (once, by an admin)

  • Go to Settings → Meetings → toggle Track call and meeting types on → click Edit options to add or rename Meeting types (you can have up to 100).
  • You can also set a default meeting type per scheduling page under Sales → Meetings Scheduler → Edit → Overview → Meeting Type. (knowledge.hubspot.com)
