So I will just go ahead and share my screen. And today's focus will be based on input from Jennifer about the activities throughout the conversation.
But also showing just in general how you can work with activity management in Hotspot, both from Hotspot directly, but also in Outlook.
If you're doing stuff from Outlook, how can you make sure it's logged directly to the deal that you're working on the customer?
Because that's something that's good just to know. And then when you've seen it the first time, typically you remember it.
But if you haven't seen it, it can be a little difficult to find. So what I will just do is I will share my screen.

Let's see. I will go to a specific. Deal in my. Fine. I'm going to here. You've probably noticed that when you're on a deal or a contact or on a company, you have some buttons that allow you to create activities.
If you're sitting directly in HubSpot and doing updates either on a deal or a contact or a company, you can make everything from a note.
You can send email, you can call if you connect your phone, you can also call here, but you can also create tasks.
And I just want to underline how important tasks can be, because in a minute I will show you the one space where you can see all of your tasks and that you can work all of your tasks at once instead of trying to find out what you are actively working in your pipeline.
Always having tasks on active deals or open deals and leads that you're working or a company. That you're working is my recommendation, because again, as I show you in a minute, you will then be able to use one of your workspaces or the workspace to follow up on these tasks.
So what I'll just do for reference is I'll create myself a task. Sometimes the system will also generate a task for you.
If you receive a marketing need, you will receive a task. If you have a certain deal that has a close date that needs to be updated, you will also receive a task.
And there are some other, not a lot, but there's a couple of other automations in place to give you a task on certain things you need to remember to do.
So tasks is your friend here, really. I'll just do a task for myself. And then you can say when you want the activity date to be, it's defaulted to three days out in the future, but you can also just say today.
And give yourself a reminder, you want a reminder tomorrow, for example, and then you can do a note on it if you want to, and you can just say create, then you can see it here in the middle, and it's the same for emails or meetings or anything that's basically being logged on the deal or on the company or whatever that might be.
And I'll also show you how to do this through Outlook in a minute, so I'll get to that also.
But now that I have this task, I can go to Sales here and to Sales Workspace. If you have the Customer Success Workspace, you will also have tasks up here, so you can just go there, and the view should be the same.
So why I like the Sales Workspace is it shows me a lot of the things that I need to be aware of.
For example, important actions to remember, so I need to send a follow-up email on this deal. you. Thank For and I need to send also here a follow-up email and also here a follow-up email and then I can see everything that's deal related so if I have something where I have an open deal on it that HubSpot thinks requires my attention HubSpot will tell you maybe you should have a look at some of these for example but the thing I actually wanted to show is the tasks overview you can see here because here I can see the tasks that I have I don't have a lot which is also the idea I shouldn't really but I just created these for today's training you can look at this yourself as well I would recommend just taking a look you probably have more tasks than me and what you can then do is and what I would set aside x amount of time each day to do is go in here and click start all tasks because what then happens is HubSpot will put you in a queue
and it will say okay we're starting the first task this is a make a phone call to mess at sunrise and i can then make the call just do it just for fun uh call this phone let's do it this need microphone access oh well so boring why do why can i not let me call without a phone i think that's fair uh or anyhow you can call here um don't know if i can actually see if it allows me to do it aha there we are now i'm calling mess oh i'm calling our main number anyhow um you get the idea so then i can close this tab and i think i've made the call and i can of course do some call notesurb
And I'm on to the next one. So I can work my way through my task list here in a flow.
And I think the flow part is the very important one. Because a lot of the times it can be hard when you work with sales or customer success or just work with customers in general to have time for flow.
But if we get in flow, I'll use that a lot now. When you get in a flow where you are just doing activities like sending sequences, sending up follow-up emails, doing calls, and so on, it just becomes a lot quicker to do like this.
And this is why I recommend tasks. Because this will just give you that. If you do this 30 minutes a day, I guarantee you your task list is a lot smaller by the end of the month.
Does it make sense? Have you tried this? Or was this new to you? I've seen some faces that are saying, it seems like it was new.
So that's good. That's the purpose of these trainings. To show you new... That hopefully can help you in your day-to-day.
But you can see here, this is an email. this example is the same. Now I just have the option to use a template or a sequence, which I highly recommend that you take a look at.
Because here, having a good sequence for different follow-ups can be really great. I know Carlos has an IT outreach one here, for example.
I know Germany has been creating some. And just in general, I have a sales first meeting follow-up. Maybe that's not the right one.
But just so you can see here, that having a template or a good sequence that has emails and tasks can really help you follow-up on all the leads.
So you don't have to remember in your head which leads you are working. Next time, I think we would do a full sequence training.
I think that makes sense at this point. So if you want to try to get some sequencing done, we will do that next time.

I hope. So, let's take Tove. So, Outlook integration right now, of course, does two things. It syncs emails, and it syncs meetings.
So it will be those two that we can focus on. If you are sending emails through Outlook, which I'm sure you are, you can just make sure to look at, and it's the same that I just showed you in HubSpot, but you can see here there's something called log over here on the right side.
And this is actually also important, because if you have a certain deal that you would like to add the email to, just make sure to find that deal, and here you can kind of do the same thing that I did earlier, you can search for, for example, for sunrise, and it will then give you all the deals that are related to that.
Now this is in my HubSpot, so this is not in your HubSpot, so this is some of the deals I'm seeing, but then you would be able to associate it to a deal, for example, by clicking that off.
It should automatically say, if you have an open deal, where the contact person you're sending. Email to is associated, it should log to that, but please just check it when you're sending communication, because when you've done it once, it will remember it for the next time you're sending email to the same contact.
You don't have to redo this every time, but just, it's a good rule of thumb, I would say. Does it make sense?
Yeah. So this is actually just when you're doing it from Outlook. You can do the same things, as I'm sure you have seen, can send, you can, this is in Danish, so sorry for that, you can work templates, you can work with sequences or documents, you can also insert your meeting link, so if you have a meeting, meeting you want to insert, you can also do that from here, but you also have the option to get the AI to actually help you write emails.
If you feel like it, if and you can just choose if it's an introduction email, cold outbound. or follow-up, and then you can give the AI some info just to help you actually do a prompt.
Does it make sense? Do you have any questions for the Outlook email part? I know we had some issues initially, but it seems like we've solved for most of it.

We sent the email, but I would like to schedule a meeting as well, this is what makes sense now, I click schedule a meeting, and I'm sure Jennifer, this is what you have been doing also, and you can then say, let's give it a title, if I could, here, and just give it a date as you would, you can of course see your own calendar.

As a user, it's important you do it as a user. And then you can select location. I don't have my teams connected, but I'm sure, hopefully, you should at this point.
Make it a phone call, and then you can add reminders, and internal notes, and attendee descriptions. Please note, internal notes is for you, and for your eyes only, and attendee descriptions, the customer will receive that in the agenda, or like the description field.
So please don't write that the customer is stupid here. I have seen this example before. I mean, it's not even a joke.
So I would remember that this goes to the customer. And then you can also select a meeting type. Sorry, this was actually the most important thing I want to show.
Here you can choose a A discovery meeting, proposal, negotiation, follow-up, and please see this or yourself as well, just making sure that you can actually see when we did discovery, when did we do a proposal, if you did a proposal meeting, when did we do a negotiation meeting, if you did it, because then when the deal is done, you will be able to see we did this meeting at this point, and then at a later stage we did this meeting and so on.
So it's as much as a help to yourself as well, so you can distinguish the meetings quickly. Yeah, I hope that makes sense.
Of course, we also see it in a report, so you can see it for yourself as well, like how many discovery meetings do we have, or do I have, how many negotiation meetings and proposal meetings and so on.
Does it make sense? Cool. And then you can say save, of course, I won't do that, I'll just say cancel, but you have the option, so again, a lot of.
Things can actually happen from this view, which I like a lot, because you don't have to leave it to do a lot of activities, especially when doing follow-ups, it works very well, yeah, and you can also switch between them up here without having to complete it, so if you're like, okay, this is not the task right now, I can just go to the next page, and the next page, and so on, if that's what I want to do, does it make sense?

When you have a meeting, you have an open deal and then you have a meeting. Well, doesn't really matter if it's a deal or company.
What I would do, let's see if I have a meeting here at some point. well, fair enough. What I would do is I would typically, I would log it as a note, but not connect, you know, you can connect it to the meeting if you want.
You can find the meeting, you should be able to.

So it always sits in the top. And here you can have the most important notes from your meetings and from your follow-ups and everything and just put it into one.
Because otherwise you would have to look for it on the card all the time, which I don't like specifically.
