Backoffice

BackOffice (BO) is the internal console where Assessio personnel (CSMs, KAMs, and Support) create new client organizations, assign plans and add-ons, monitor usage, and manage renewals/cancellations. Access is SSO-only and restricted to Assessio employees.

Access & sign-in (SSO)

  1. Sign in to your Microsoft 365 account and open the Assessio Platform app.

  2. Replace the URL path to reach BO: change …/dashboard to https://www.backoffice.assessio.online.

  3. If the page is blank, you likely lack BO permissions—contact your team admin.

Create a new client organization

Step 1 — Organization details
  • Fill in basic org info and select Client segment: Small / Value / Star / Enterprise (drives plan limits).

Step 2 — Main client contact (mandatory)
  • Pick a person from the client team to be the main contact (appears in the client’s Billing Plans page; used for comms about subscription/limits). Existing orgs must also have one; if multiple were present historically, one may have been selected automatically.

Step 3 — Set up subscription
  • Enter contract start date.

  • Recruitment module plans:

    • Legacy (pre-plans experience)

    • Starter (low volume; no add-ons)

    • Professional Limited (mid volume; add-ons purchasable)

    • Professional Max (max platform volume; ATS assessments have their own limit; add-ons purchasable)
      Use Billing Plans for live limits per segment.

  • Development module: single Standard plan; scope depends on add-ons you enable:

    • People Development (Leadership Feedback & Goals)

    • People Analytics (succession activities)
      At least one add-on must be active to use Development.

Manage an existing organization

Organization Summary
  • See segment, subscription date, active modules/plans, add-ons, MFA/ATS status.

Users Overview (limits & auto-purchases)
  • BO shows live counts vs. allowed Admins/Recruiters/Leaders and Members (Recruitment) and Users(Development).

  • When a limit is hit, the platform auto-purchases capacity:

    • Recruitment Admins/Recruiters/Leaders: buys batches of 5 seats.

    • Recruitment Members: upgrades to next tier (2nd → 3rd → unlimited).

    • Development Users (incl. Dev Admins): upgrades through tiers up to 2000.
      Each auto-purchase appears in Billing Events Audit for invoicing.

Usage Overview (assessments)
  • Track assessment consumption by Platform vs. ATS.

  • Starter / Professional Limited: combined assessment pool; if exhausted, the org auto-upgrades to the next plan for the rest of the term.

  • Professional Max: platform assessments are unlimited; ATS assessments have a limit—each time it’s reached, the system adds +100 assessments.

Modules & Plans (change, add, remove)
  • Legacy orgs: click Move to new plan (top banner) → select client segment, subscription date, and a new plan; then apply.

  • New-plan orgs:

    • Change plan (only compatible plans shown; e.g., Starter hidden if add-ons are active).

    • Add plan (activate an additional module).

    • Remove plan (deactivates a module).

ATS Integrations
  • View or configure ATS connections; model unchanged.

Subscription lifecycle

Automatic renewal
  • BO supports 1-year contracts. During the final month, the org is queued for auto-renew (banner shown). On renewal, assessment counters reset and limits adjust; the main client contact is notified by email.

Cancelation (end-of-term)
  • From Modules & Plans, set Cancel at term. The org keeps access until the contract end date; team/owner are notified (yellow banner). You can resume from the banner before expiry. After expiry, the org enters grace period.

Revoke cancelation
  • At any time before expiry, Revoke to restore normal auto-renewal.

Early cancelation / Mark for deletion (immediate)
  • Use Delete Organization to stop access immediately (UI shows red banner; plans go read-only in grace). Reactivation is possible from the banner if needed.

Billing Events Audit (traceability for invoicing)

Every auto-upgrade or plan change records an audit event you can export for billing reconciliation, e.g.:

  • Users limit auto-upgraded (Recruitment or Development)

  • Members limit auto-upgraded

  • Assessments limit reached → +100 ATS (Prof Max)

  • Plan auto-upgrade via assessments (Starter/Prof Limited)

  • Migrate organization / Change plan / Add plan / Remove plan
    Open any org and append /audit to the URL to view the log.

Good practice & guardrails

  • Set client segment correctly before picking a plan—limits and pricing depend on it.

  • Communicate usage-based events (auto-purchases, auto-upgrades) in the commercial contract and during onboarding; BO logs support invoicing.

  • Keep one main client contact current; renewal and usage notices rely on this.

  • Use Early cancelation only when you intend to stop access right away; otherwise prefer Cancel at term.

Who can access BO?
Assessio CSMs, KAMs, and Support via SSO; external emails are not allowed.

Can I sell a single extra recruiter seat?
No—Recruitment admin/recruiter/leader seats are sold in batches of 5 when limits are reached.

What happens when a Starter/Prof Limited org uses all assessments?
They auto-upgrade for the remainder of the term to enable continued use.

Where do I see all plan/add-on states?
Use Modules & Plans; activation/deactivation buttons are provided per feature.
