Assigning matrices to employees

This article is intended for administrators.

There are several ways to assign a matrix to an employee: individually, in bulk, or automatically.

🙋🏻‍♂️ Assignment of a matrix to an employee

The employee career tracking tab is accessible from their profiles in "Users". This "Career" tab is visible to the employee, direct and indirect managers and administrators.

To add or change the associated matrix and level, click on the pencil icon in the current level or in the next level.

💡 Note : Only managers and admins can modify the skills matrix and the level associated with employees.

🙇🏻‍♀️ Mass assignment via import

This import allows you to define which skills matrix should be assigned to each employee in a grouped manner. It is generally carried out when deploying Elevo.

  1. Download the file template in the desired format: Excel, Google Sheets and CSV,
  2. Fill in the columns according to the conditions described in the table below,
  3. Send the file to Support (support@elevo.io) for import. We will confirm that the file has been successfully imported, or if any errors have been detected.

👩🏼‍🔧 Automatic and recurring mass assignment

You can now establish automatic assignment rules so that the matrices are updated based on a pre-defined criterion and thus achieve a considerable time saving!

🔗 How to define the assignment criterion?

The assignment criterion must be a profile field from the list below:

Generally, the "Job title" field will be the most relevant for this use.

Once the criterion has been selected, please contact Elevo Support (support@elevo.io) so that we can finalize the settings.

🖍️ How to create an assignment rule for a given matrix?

To create a rule, go to the relevant matrix and then to the "Associated collaborators" tab.

⚠️ Warning: If you have not previously contacted our support team to validate the assignment criterion, this button will not appear.

  • Click on "Configure automatic assignment",
  • You must here select one or more values in each drop-down menu in order to define at what level the collaborators concerned by these values will be associated,

💡 Note: For the sake of consistency, a value selected for one level will not be available for selection for another level.

  • Once the assignment is complete, click on "Save the assignment criteria",
  • The assignment will be carried out automatically after registration. This may take a few seconds when a large number of employees are involved.

💡 Note: The assignment is then automatically updated every two hours.

➡️ What happens if I delete a rule?

The employees previously assigned to this matrix thanks to the rule will still be assigned to it.
